Who can use it

Staff with the HR reports permissions (list and show to open the catalogue, export to download). Each report also needs its own permission, so the catalogue shows only the reports you may open:

Report Also needs
Headcount, New joiners and leavers Headcount report permission
Attrition Attrition report permission
Absenteeism, Leave liability Absenteeism report permission
Payroll cost Payroll cost report permission and access to compensation data
Diversity Diversity report permission
Attendance Attendance summary permission
Contracts Contracts list permission
Payroll register, Payroll summary Permission to open payroll runs
Bank file reconciliation Permission to list bank files (payout batches)
Utilization, Project hours Timesheets or projects list permission

Downloads need the report's export permission. Emailing a report on a schedule needs the report schedule permission.

Where: HR → HR reports, or the HR reports card in the main Reports hub (people area).

The catalogue

The Reports page groups reports by what they are about. Each card shows the title, a short description and how many columns you will see. Click a card or Open.

Filters

Each report shows only the filters it uses. Reset clears them.

Filter Meaning
Group by Department (default), Legal entity, Branch or Worker type
Legal entity, Branch, Department, Worker type Narrow to one; All by default
Status Contracts: contract status (active by default). Payroll cost: Approved and later runs (default) or Every run, drafts included
As of Headcount and Leave liability: the day to report on
From / To The period for the other reports

Headline figures (for example Active people) appear above the table.

Step-by-step

Run and download a report

  1. Open HR reports and click a report.
  2. Set the filters. The table updates.
  3. Click CSV, Excel or PDF. A large file is prepared in the background ("This report has N lines, so it is being prepared") and you are notified when it is ready.
  4. Click All reports to go back.

Email it on a schedule

  1. On the report, click Schedule.
  2. In Schedule this report, set How often (Every day, Every week or Every month), Send at, the day where asked, and Covering (for example Last month).
  3. Choose who to Send to and click Schedule.

The schedule keeps your filter choices but not the dates; Covering decides the period each time.

Privacy rules

  • Pay figures are compensation data. Columns such as Liability, contract Rate, and the pay columns of the payroll reports are left out for anyone without access to compensation. See Privacy and Employees.
  • Payroll cost does not open at all without compensation access, and it can never be scheduled for email.
  • Diversity is aggregate only. A group smaller than 5 people shows no count. If only one group would be hidden, the next smallest is hidden too, so the hidden one cannot be worked out from the total. People who gave no value count as "Not stated".
  • Reports follow your branch access: you see only people you are allowed to see.

Example scenario

Padma Net Support's HR head, Shirin, prepares the quarterly board pack. She opens Headcount grouped by Branch as of 30 September, then Attrition for July to September. Karim (Finance) runs Payroll cost for the quarter with Approved and later runs. Shirin schedules Absenteeism for Every month, covering Last month, to the three branch managers.

Tips

  • Use Group by instead of running the same report once per department.
  • Use As of to compare headcount with an earlier date.
  • Download PDF for sharing and Excel for further analysis.

Troubleshooting and FAQ

The catalogue says "No reports available". You have no report permissions yet. Ask an administrator.

A report I expected is missing. You lack its own permission, or (for Payroll cost) access to compensation data.

There are no download buttons. You lack that report's export permission.

There is no Schedule button. Your plan does not include advanced reports, you lack the schedule permission, or the report is Payroll cost.

Diversity shows dashes for some groups. Those groups are below the minimum size and are hidden on purpose.
