HR (HRM)
Engagement surveys
Ask your people how work is going: short pulse surveys, a yearly engagement survey, and surveys sent at key moments such as onboarding or leaving. Answers are anonymous by default, and results are never shown for a group too small to stay anonymous.

Who can use it
- My surveys: anyone whose login is linked to an employee record. No extra permission is needed; you only see surveys sent to you.
- Surveys: staff with the Survey permissions (List, Show, Create, Update, Delete, Launch).
- Results: staff with the Survey Results permission.
Where: HR → Culture → Surveys and Results for staff, HR → Self service → My surveys for everyone.
Create a survey
- Open Surveys and choose New survey, or start from a Template. The library has an eNPS pulse, a weekly pulse, an annual engagement survey, a wellbeing pulse, a 30-day onboarding survey, an exit survey and a stay interview. A template becomes your own draft; change anything before launching.
- Choose the Type: Pulse (short, repeats), Engagement (longer, usually once) or Lifecycle (sent to one person at a moment).
- Add questions. Kinds: Rating (1 to 5), eNPS (0 to 10, "how likely are you to recommend us as a place to work"), Choice, Yes / No and Free text. Mark a question required if it must be answered.
- Choose who gets it: everyone, or narrow by legal entity, branch, department, worker type or named people. Preview shows how many people it reaches and warns if the group is smaller than the minimum group size.
Anonymity and minimum group size
- Anonymous (the default for pulse and engagement): no name, employee id or time of day is stored with an answer. Not even HR can see who said what.
- Signed (the default for lifecycle surveys): HR sees each answer with the person, to follow up. People are told this before they answer.
- Minimum group size (default 5, never below 3): a result is shown only when at least this many people answered in the group it describes. This applies to the whole survey, each department, each branch, each round and free-text comments. A group below the minimum is listed as hidden, with no figures. When only one group would be hidden, the smallest other group is hidden too, so it cannot be worked out by subtraction.
After launch the questions, anonymity and minimum group size cannot change, so the promise made to people stays true.
Launch and rounds
Launch invites everyone in the group and notifies them. A pulse can repeat weekly, monthly or quarterly: each round stays open for the chosen number of days, then closes, and the next round opens automatically for the same group. Close a survey to stop answers; what was handed in stays in the results. Only a draft survey can be deleted.
Lifecycle surveys
A lifecycle survey is tied to a moment:
| Moment | When it is sent |
|---|---|
| Onboarding | When a new hire's onboarding starts, after the number of days you set (for example 30) |
| Exit | When an exit is opened for the person |
| Anniversary | On each work anniversary, from the first year |
One running survey per moment. A group filter limits it to some people.
Results
Open Results and pick a survey (and a round). You see the response rate, the eNPS (percentage of promoters, scores 9 to 10, minus detractors, scores 0 to 6, from -100 to 100), each question's summary, a comparison by department and by branch, and a trend across rounds. Free-text comments appear for the whole survey only, in alphabetical order. For a signed survey, Responses lists each answer with the person.
My surveys
Self service → My surveys lists surveys waiting for you, with the last day, and the ones you answered recently. Open one, answer, and submit. For an anonymous survey the page says so. You can answer a survey once.
Reminders
People who have not answered are reminded two days before the last day and on it. Reminders go to the person only, so in an anonymous survey nobody else is told who is missing. Adjust the rules under the reminder settings (source Survey last day).
Example scenario
An office of 40 runs the eNPS pulse monthly. The survey goes to everyone; 28 answer. The overall eNPS is 18. Sales had 3 answers, so Sales shows as hidden, and so does the next smallest department. Next month the trend shows the score moving.
Troubleshooting and FAQ
Why is a department hidden? Fewer people answered there than the minimum group size, or hiding it was needed to protect another small group.
Can HR see who has not answered? The reminder rules reach the person only. HR sees totals and the response rate, not names, in anonymous surveys.
Can I change questions after launching? No. Close the survey and create a new one.
Why did a new hire not get the onboarding survey? Check that a lifecycle survey for onboarding is running and that the person is inside its group.
