Who can use it
These pages are on every HR plan. On the Roles screen, the permissions are View Org Chart, View People Directory, Set Public Directory Fields, the Teams permissions (List, Create, Update, Delete) and the Locations permissions (List, Update). Roles that already used HR for themselves or others received the chart and directory permissions automatically. Teams went to roles that manage departments, and locations to roles that manage branches.
Everybody who can open the chart or directory sees the name, title, photo, department, manager and teams of every active employee, in every branch.
Where: HR → Org chart, HRM → People directory, HRM → Teams and HRM → Locations.
The screens
| Screen | Purpose |
|---|---|
| Org chart | The reporting tree, with search, zoom and export |
| People directory | Cards of every colleague, with filters |
| Teams | Groups of people under a department |
| Locations | Each branch as a place: address, timezone, holiday calendar, legal entity |
The org chart
The chart opens with the top two levels expanded. Each card shows name, title, photo and department. A pill shows the total, for example "120 people".
| Control | What it does |
|---|---|
| Search box | Type at least two letters of a name, title or department, then pick a result. The chart opens the path to that person and highlights the card |
| Zoom out / Zoom in / Reset zoom | Zoom from 30% to 160%. Ctrl (or Cmd) plus the mouse wheel also zooms |
| Top levels | Back to the top two levels |
| Expand all / Collapse all | Open or close every branch that has loaded |
| Number under a card | How many direct reports; click it to show or hide them |
| Click a card | Opens the Profile panel |
| Export PNG | Saves a picture of the chart as it is expanded on screen |
| Export PDF | Saves the whole chart as an indented list: name, title and department per line |
The Profile panel shows Reports to (click the name to jump to the manager), Direct reports, teams, and, if you may see them, Employee ID, Work email, Work phone, Location and Joining date. If you only see the public details, the panel says so.
Very large organizations (above 2,500 people) load the top levels first; each branch loads when you open it.
Edit reporting lines by drag and drop
Staff who may create job change requests see Edit reporting lines, on every plan.
- Click Edit reporting lines. A hint explains the mode.
- Drag a person's card onto their new manager.
- Request a job change opens with New reporting line and the new manager already filled in. Choose Effective from, add a note and click Send for approval.
- Click Done editing to leave the mode.
The chart does not change until the request is approved and its date arrives. You cannot drop a person on someone who reports to them. See Employment changes for how approval works.
People directory
The directory shows a card per active colleague: photo, name, title, department, and the work email or location when you may see it. Search by name and filter by All departments, All titles and All teams. Clear filters resets them. Click a card to open the same Profile panel as the chart.
What extra details everybody sees is controlled by Public fields (needs Set Public Directory Fields):
- Click Public fields.
- Tick any of Employee ID, Work email, Work phone, Location and Joining date.
- Click Save.
Name, title, photo, department, manager and teams are always visible. People who can see an employee's branch, and the employee themself, see all the detail fields anyway.
Teams
Teams are HR groups under a department (separate from CRM teams). They show on profile cards and filter the directory. Each team card shows its department, member count and lead.
- Click New team.
- Enter the Team name, and optionally the Department and Code.
- Pick the Team lead and the Members, and add a Description.
- Click Save.
Click Edit to change a team. Deleting a team removes only the group; the people in it stay.
Locations
Locations lists your branches as places, with sub-locations indented under their parent. Each card shows code, headcount, address, Timezone, Default holiday calendar and Legal entity. Inherited means the value comes from the parent location.
- Click Edit on a location.
- Set Address, Phone, Email, Timezone, Default holiday calendar and Legal entity.
- Leave timezone or holiday calendar empty to inherit from the parent. Click Save.
Attendance and shifts at the location use its timezone. New locations are added as branches, not on this page.
Example scenario
Padma Net Support reorganizes its NOC. HR creates the team "Night NOC" under the NOC department with Sabbir Ahmed as lead. In the People directory, HR makes Work phone public so agents can call each other. Later, the NOC head opens the Org chart, clicks Edit reporting lines and drags Rina Akter onto Sabbir, effective 1 March. After approval, Rina appears under Sabbir from that day. HR then exports a PDF for the board pack.
Tips
- Keep Reports to up to date on every profile; the chart is built from it.
- Expand the branches you need before Export PNG; the picture shows what is open on screen.
- Set the timezone on the parent location only, and let sub-locations inherit it.
Troubleshooting and FAQ
"Reporting loops found". Older data has people who report to each other in a circle. Each loop shows as its own top card. Fix the Reports to on the profiles.
Someone is missing from the chart or directory. Only active employees are shown. Check the person's status.
I do not see "Edit reporting lines". It needs the permission to create job change requests. Ask an administrator.
Sending the reporting-line change fails. Job change requests need an approval flow for job changes. See Employment changes.
Expand all does not open everything. In a large organization, branches not yet loaded open one by one when you click them.
