HR data you can report on

Most people data can be grouped by Employee, Department, Designation, Legal entity, Branch, Worker type, Gender, Length of service and Age band.

Build a report

  1. Open Reports → Report builder and click New report.
  2. In What do you want to report on? choose a data set, for example People.
  3. Under Show or group by pick how to split it (for example Department). Under Figures pick what to count (for example People). With no figures, the report lists one row per record.
  4. Set the Period and any Filters (for example Worker type is one of Full-time).
  5. Watch the Live preview. Switch the chart between Table, Bars, Lines and Pie.
  6. Click Export for CSV, Excel or PDF. A large file is prepared in the background and you are notified when it is ready.

Reports that list one row per record cover at most 92 days; reports with figures cover up to a year.

Privacy rules

  • Small groups are hidden. A group of fewer people than the minimum size (5 by default) shows nothing in the preview, the file or the email. Slice a report finely and groups disappear: that is on purpose. A total that is itself below the minimum is hidden too.
  • Sensitive fields follow your access. Date of birth and Age band need access to identity data. Basic salary, Average basic salary, Total basic salary and all of Payroll lines need access to compensation data. Without that access the fields are simply not offered.
  • You see only the people you may see. Branch access and your own role limit every report, and a scheduled email is built for each recipient on their own access. A recipient without access to the data does not receive it.
  • Candidates are anonymous. The Hiring data has counts only, never names or contacts.
  • Amounts in Expense claims are in each claim's own currency. Group or filter by Currency before adding them up.

Save, share and schedule

  1. Click Save, give the report a name and choose Who can open it: Only me, A team or Everyone.
  2. Click Schedule to email the saved report: how often, at what time, covering which period, and who receives it (people or outside addresses).
  3. Others who may open the data can Make a copy of a shared report; only its maker changes or deletes it.

Saving, changing and deleting a report on HR data need the matching HR right. Without it the buttons are not available, but you can still open and run reports shared with you.

HR dashboards

HR keeps four dashboard presets: CEO, CHRO, HR and Head / Manager.

Dashboard Shows
CEO Headcount trend, turnover, payroll cost, hiring, performance, today's attendance and leave
CHRO Headcount trend, turnover and tenure, hiring, performance, attendance, leave, contracts ending
HR People, headcount trend, turnover, attendance, leave, joiners, birthdays, contracts ending
Head / Manager The manager's team: attendance, leave, performance, workload

People get the dashboard that fits them (for example, a CEO designation gets CEO) and see it among their dashboards on the home page. In HR → HR dashboards:

  1. Open a dashboard to see its widgets and who gets it.
  2. Add, remove and reorder widgets, set each widget's width and its scope (Own, Team, Branch or Whole company), and choose who gets it by role, department, designation or managers.
  3. Click Save, or Reset to return to the shipped layout. Turn a dashboard off to hide it.

The new widgets are:

Widget Shows
Headcount trend Average headcount and joiners for each of the last 12 months, and the change
Turnover Leavers, turnover and retention rate, how long leavers stayed, people who left within a year, length of service of everyone active, departments people left from
Hiring pipeline Open jobs, applications received, still in the process, hired, rejected, average days to hire, sources
Performance progress Reviews finished in open cycles, average rating, goal progress and goals at risk
Payroll cost Total cost, net pay and people paid for the latest approved payroll month, against the month before (needs access to compensation data)

Splits by department, tenure or source hide groups below the minimum size. A widget you may not use is not shown, even if the dashboard lists it.

Team dashboard

If people report to you, directly or through others, My team → Team dashboard shows them in one place: who is in your team, how each is today (present, absent, on leave, no record), and the team's attendance, leave, performance and contracts ending. It shows only your own people, so small-group hiding does not apply. The same page is in the 9bx People mobile app. Someone with no team sees a short note and nothing else.

Example scenario

Padma Net Support's HR head, Shirin, wants to know why people leave in their first year. In Report builder she picks Leavers, groups by Length of service and Department, and picks the figures Leavers and Left within a year. NOC shows nothing: only 3 people left from it, below the minimum of 5. She saves the report for Everyone and schedules it Every month to the three branch managers. Karim in Finance builds Payroll lines by month for the board; Shirin cannot, because she has no access to compensation data. Meanwhile the CEO, Mahbub, sees Headcount trend and Turnover on his CEO dashboard, and Rafiq, a team lead, opens Team dashboard every morning.

Tips

  • Start from Headcount trend for "how many people over time"; it is exact for a day and an average for a week or month.
  • Use Leavers with Length of service to find early turnover.
  • Save a report once and schedule it instead of exporting it every month.

Troubleshooting and FAQ

The HR data sets are missing from the list. You lack HR report building access or the access to that data. Pay data also needs compensation access.

A group I expected is not in the table. It has fewer people than the minimum size, so it is hidden.

I cannot add Basic salary or Age band. You lack access to compensation or identity data.

A scheduled report did not reach someone. They lack access to the data, or they have left the organization.

Save is greyed out. You may open and run HR reports but not save them. Ask an administrator.

My dashboard has a gap where a widget should be. You lack access to that widget's data.

The team dashboard says I have no team. No one reports to you in the organization chart.
