Organizations and branches

Describe your company: its organization details, the legal entities it trades under, and the tree of branches. Branches inherit settings and can limit what each person sees.

Who can use it

Staff whose role has the organization and branch permissions (usually Owners, administrators and branch managers). Deleting an organization or moving a branch to another organization needs owner-level rights. Branches belong to the HR module's settings, so the branch pages follow the HR branch permission.

Where: Settings → Organization and Settings → Branches.

Organizations

The Organizations page lists the top-level organizations of your workspace ("Each organization has its own branches, teams, billing, and data isolated at the database level"). Most companies have one. A holding company may have several.

Tab Shows
Organizations The list, with New Organization
Hierarchy The tree: Organization, Branch, Team, with counts such as "{n} branches, {n} members"
Holdings A relationship view of organizations with status tags (Trial, Pending, VIP, Churned), owner, tags and last contact

Open an organization to see: Public-facing details, Owner & primary contact, Plan and billing, Localization & security, and a Danger zone.

Create an organization

  1. Click New Organization. You become its initial owner.
  2. Fill in Organization Name (shown in the sidebar, on invoices and invitations), Legal Name, Registration Number, phone, email and address. Add a Logo (SVG or PNG, at least 256x256).
  3. Under Localization & finance choose Country, state and city, Currency, Language and Timezone, and the Brand theme accent colour. Choosing the country fills sensible defaults (see Regional settings). Members can override their own language.
  4. Click Create Organization. You see "Organization created successfully!"

To change details later open the organization and choose edit (Update Organization). Changing the organization's currency affects new records only; old records keep their original currency.

Branches

Branches are physical or logical units: offices, depots, shops, regions. Each has its own teams, schedules and phone routing. A branch can have sub-branches (for example Head Office, then Mirpur, then Mirpur Sadar).

The Branches page lists branches with their Parent, Legal entity and Manager.

Button What it does
New Branch Opens the create form
Legal entities Opens legal entities
Organization defaults Opens organization defaults
Row actions View, edit, delete

Create a branch

  1. Click New Branch.
  2. Enter Branch name (for example "Uttara Branch") and a Code such as UTR. The slug is generated.
  3. Optionally enter Region / city, Country, address.
  4. Under Structure choose the Parent branch. Leave it empty ("No parent (top level)") for a top-level branch such as Head Office. Choose the Legal entity, or leave Inherit to take the parent's, then the organization default.
  5. Under Manager & contact choose the Branch manager (an existing member with a manager role, or invite one), plus contact phone and email.
  6. Click Create branch.

Branches inherit the organization's plan, currency and roles.

Branch settings and inheritance

Open a branch and use its Overview and Settings tabs.

Overview shows Public-facing details, Business hours, and Phone & routing (inbound calls to the branch's numbers follow these rules), plus the Danger zone.

Settings holds values such as weekly days off, working hours and overtime rules. Each value shows whether it is Overridden (set on this branch) or Inherited ("From parent: {value}"). A sub-branch with nothing set takes its parent's value; if the parent has nothing, it takes the organization default.

To save time use Start from a template: choose Choose a template (ready-made days off, working hours and overtime rules). Review the values ("Template applied. Review the values and change anything you need.") and save.

Example: Head Office starts at 09:00. Mirpur sets 10:00. Mirpur Sadar sets nothing, so it starts at 10:00.

Public holidays are different: they belong to one branch and do not flow down. A holiday on Head Office is not a holiday in Mirpur (Holidays).

Organization defaults

Organization defaults are "Settings every branch inherits." Edit them once; a branch overrides any of them on its own Settings tab.

A legal entity is a separate trade licence or BIN inside the organization. Every branch belongs to one, and payroll runs under one.

Field Meaning
Legal entity (name) For example "Padma Net Ltd."
Trade licence, BIN, TIN Registration numbers
Registered address Printed on documents
Default legal entity Used by new branches and payroll runs unless told otherwise

Click New legal entity to add one, Edit legal entity to change. A legal entity with branches cannot be deleted until they are moved.

Suspend, move or delete a branch

In the branch Danger zone (it needs manager approval):

Action Effect
Suspend Disables phone routing and freezes billing for the branch. Data is kept
Move to another organization Transfers the branch with its teams and members to an organization you own
Delete branch Opens a review page ("What happens when you delete this branch")

On the delete page you see counts: Teams Deleted, Members Re-Homed, Subscribers, Call Records Lost. Members are not deleted; they move to the parent organization, keep their roles and lose branch-specific access. Phone routing rules are deleted, so calls to the branch number fail until reconfigured. You cannot delete a branch that is the organization's primary branch or that still has active subscribers: reassign them first. The Delete branch button unlocks after a safety pause of a few seconds.

How branches limit what people see

For each module a person's data scope is one of:

Scope What they see
Own Only their own records
Branch Only their branch
Branch and below Their branch and every sub-branch
All The whole organization

The branch switcher in the top bar (Layout and navigation) narrows the screen to one branch. All branches appears only if you are allowed everything. A new shared record (a service, a ticket status, an extension) belongs to the selected branch; a person with all-branch access who selects All branches creates organization-wide records.

Example: manager Karim has Branch-and-below scope on HR at Mirpur, so he sees Mirpur and Mirpur Sadar staff but not Uttara.

Transfers between branches

When an employee moves branch the history is kept with dates. Records before the move stay with the old branch; after it, with the new one. For example, a move on 1 March keeps February attendance and payroll in the old branch's rules and March in the new one's.

Example scenario

Padma Net Support adds Uttara. Rafiq clicks New Branch, names it "Uttara Branch", code UTR, parent Head Office, legal entity Inherit, manager Imran. On the new branch's Settings tab he applies a weekly-days-off template, then overrides only the start time to 10:00. Everything else shows Inherited.

Tips

  • Build the tree from the top: Head Office first, then children.
  • Change shared values in Organization defaults and only override what truly differs.
  • Reassign subscribers before deleting a branch.

Troubleshooting and FAQ

I cannot delete a branch. It may be the primary branch or still have subscribers. Reassign first.

A branch is missing from the switcher. You do not have access to it.

New branch uses the wrong legal entity. It inherited; edit the branch and pick one.

Holidays are not showing in a sub-branch. Holidays do not inherit; add them per branch.
