Who can use it
Everyone who works with clients can see the territories and filter by them. Changing territories needs the territory management permission. Available on every plan.
Where: CRM → CRM settings → Territories.
Make a territory
- Click New territory and give it a Name (for example
Khulna). - Add Match rules. Each rule is a field, a condition and one or more values:
| Field | Reads | Example |
|---|---|---|
| Country | The record's 2-letter country code | BD |
| District or city | A client's or lead's district, a company's city | Khulna, Jessore |
| Area | A client's area | Pick from your areas |
| Address | Words in the address | Daulatpur |
| Source | Where a client or lead came from | Facebook |
| Tag | The record's tags | VIP |
| Branch | The record's branch | Pick branches |
Conditions: is one of, is not one of, contains. Text is compared without caring about capital letters. 3. Choose Any rule matches or All rules match. 4. Tick what it Applies to: clients, leads, companies. 5. Pick the territory Owner and Team, and what happens to New records without an owner. 6. Set the Priority (lower is tried first) and Save.
How records are matched
A new client, lead or company goes into the first active territory (by priority) whose rules match. When you later change the fields the rules read (district, country, address…), the territory is worked out again, unless you picked the territory yourself in the same save. A territory without rules is never matched: you put records in it by hand. A deal belongs to its client's territory.
You can always pick or change the Territory on the client, lead or company form; leave it empty to let the rules decide.
Owners for new records
| Choice | What happens |
|---|---|
| Leave the owner empty | No owner is set (leads still follow the lead assignment settings) |
| Give them to the territory owner | The territory owner becomes the owner |
| Give them to the team in turn | Members of the territory team take turns |
An owner picked on the form is always kept.
Apply to existing records
Click Apply to existing records, tick the record types and, if you like, Also give an owner to records that have none. It runs in the background; records that match no territory keep the one they have.
Filter and report
- The client list has a Territory filter (also No territory).
- The Report tab shows per territory: clients, companies, open and won leads, and open and won deals with their value. Only records you may see are counted.
Example
SaltSync Internet covers Khulna and Jessore. They make Khulna (District is one of Khulna, team Khulna sales, give to the team in turn) and Jessore (District is one of Jessore, owner Salma). A new client with district Khulna is given to Karim, the next one to Jamal; a lead from Jessore goes straight to Salma.
FAQ
- A record went to the wrong territory. Check the priorities: the first match wins.
- Territory owners can't see their records. With record sharing set to Owner only, territory owners and their team still see the records in their territory.
