CRM
Companies
Keep one record for each business you work with, and link the people and work that belong to it: its clients, leads, contacts and tickets. The company page then shows everything about that business in one place.
Who can use it
Anyone whose role can see companies. Adding, editing, linking, deleting and merging each need their own permission. Linking a record also needs the right to change that kind of record (for example, a client).
Where: CRM → Companies.
The list
| Element | What it does |
|---|---|
| Search box | Finds companies by name, domain, email or phone |
| Industry | Shows only companies of one industry |
| Sort | Name, Newest or Most clients |
| Counts on each row | How many clients, leads, contacts and tickets the company has |
| Add company | Creates a company |
| Find duplicates | Lists companies that look like the same business, to merge them |
Click a row to open the company page.
Company fields
| Field | Meaning |
|---|---|
| Company name | Required |
| Website and Domain | The domain (for example acme.com.bd) is taken from the website when you leave it empty. It is used to spot duplicates |
| Industry, Employees | For filtering and reports |
| Phone, Email, Address, City, Country code | Contact details; the country code is two letters, such as BD or GB |
| Tax ID | The company's tax or VAT number |
| Owner | The person responsible for the account |
| Tags, Notes | Free labels and notes |
A new company belongs to the branch you are working in. A company made while looking at all branches is shared by every branch.
The company page
- Summary cards: Open tickets (the company's own tickets and its clients'), Open deals, Won deals and Open deal value (deals of its clients and leads).
- Overview: the company's details and notes.
- Activity: one timeline with the calls, emails, notes, tasks, events, tickets and deal changes of all the company's clients and leads, newest first. With the right to edit companies you can also write a note on the company itself in the box at the top (type @ and a name to tell a colleague).
- Clients, Leads, Contacts, Tickets: the records linked to the company, with a search box. Each row opens the record. You only see the tabs and records your role and branch allow.
Link and remove records
- Open the company and choose the Clients, Leads, Contacts or Tickets tab.
- Click Link, pick one or more records and click Link.
- To take a record out, click Remove from company on its row and confirm. The record itself is not deleted.
A record belongs to one company at a time: linking it here moves it from any other company. When you link a client, its tickets that have no company join the company too, and every new ticket for that client is counted for the company.
You can also choose the company on the client form, on the lead form and the lead details, and on a ticket's side panel (Company field). The company of a client shows at the top of the client page. When a lead with a company becomes a client, the client keeps the company.
Find and merge duplicates
- On CRM → Companies click Find duplicates.
- Each group shows companies with the Same name (capital letters and extra spaces ignored) or the Same domain.
- Choose Keep on the company to keep, tick Merge on the ones to merge into it, and click Merge.
- Confirm. Every client, lead, contact and ticket moves to the kept company, its empty fields are filled from the others, tags are joined and notes added, and the other companies are removed.
Merging cannot be undone. Records in branches you cannot see move too, so nothing is left without its company.
Delete a company
On the company page click Delete and confirm. Its clients, leads, contacts and tickets stay, without a company.
Importing and connecting other software
- Client import: map a spreadsheet column to Company. Each client is linked to the company of that name; a company that does not exist yet is created. See Client import.
- Developer API and webhooks: companies can be listed, created and changed through the Developer API, clients and leads can be given a company, and webhooks can tell your other software when a company is created, changed, merged or deleted. See Sync connections and Developer API.
- Existing company names: if your contacts already carry company names, 9bx support can turn them into companies and link the matching contacts, clients and leads in one step (shown to you first, before anything changes).
Example scenario
Acme Trading Ltd. has three people who call your helpdesk. Add the company Acme Trading Ltd. with website https://acme.com.bd, then on its Clients tab link Karim, Sumi and Nadia. The Activity tab now shows all their calls and tickets together, and Open tickets tells the account owner at a glance that two issues are waiting. Later someone adds "ACME trading ltd" again; Find duplicates shows both under Same name, and Merge brings them back to one.
Troubleshooting
| Problem | What to check |
|---|---|
| Companies is not in the menu | Your role needs the permission to see companies |
| Link is missing on a tab | You need the right to change companies and that kind of record |
| A company shows "does not exist or is in a branch you cannot see" | It belongs to another branch; switch branch or ask your administrator |
| Merge is not shown | Merging needs its own permission |
