Who can use it

Staff with the deal permissions. Pipelines & lost reasons need the deal-settings permission. The number of pipelines depends on your plan (for example 1 on Free, 3 on Starter, 10 on Pro). Line items and quotes need the Products and quotes plan feature (Enterprise at the time of writing; check Plan & billing). Deal risk needs the AI assist feature (Pro and Enterprise).

Where: CRM → Deals.

The Deals board.

The Deals page

Element What it does
Board / List Board: one column per stage, drag a deal between stages. List: a table
Summary Open deals, Pipeline value, Weighted value (value multiplied by stage probability)
Search deals and Filters Owner, Stage, date range, minimum and maximum value; Clear filters
Reports Opens Deal reports
Pipelines Opens Pipelines & lost reasons setup
Add deal New deal
Export Download the list

On each column header you see the stage name, deal count, Total value and Weighted value. A card shows the time in this stage, and a warning when "Expected close date has passed". If some deals are in a currency with no exchange rate, a note says "Totals leave out deals in {currencies}".

Create a deal

  1. Click Add deal.
  2. Enter the Title, Value and Currency, choose the Pipeline and Stage, the Expected close date and the Owner ("Who works this deal").
  3. Under About, link a client or a lead and pick People involved (contacts).
  4. Add a description and save.

You can also create a deal from a lead (Leads) or from a client's Deals tab.

The deal panel

Click a card to open it. It has the title and deal number, the value with the Weighted value and probability, a stage selector, status buttons, the details (owner, expected close, contacts, created by) and two tabs: Timeline (stage moves, notes, field changes) and Activity (calls, emails and chats of the related client).

Win or lose a deal

  • Won: marks the deal won (it moves to the won stage).
  • Lost: opens "Mark deal as lost". Pick a Lost reason (required) and add a Note, then Mark as lost. The win/loss report groups by this reason.
  • Reopen: puts a closed deal back to an open stage.

Line items

Open a deal and click Line items to price it.

  1. Choose Add a product (from your price list) or Add a custom line.
  2. Set Qty, Unit price, Disc. % and Tax %; the line total and the Subtotal, Discount, Tax and Total update.
  3. Click Save lines, then Make quote to create a quote.
  4. "The accepted quote total updates the deal value": when a client accepts a quote, the deal value becomes the quote total.

Deal risk

On the deal's activity timeline an AI card shows a Low, Medium or High risk badge. Click Why this risk level? to see the reasons, for example "In the same stage for {n} days", "No contact for {n} days", "The latest conversations sounded unhappy", "The expected close date passed {n} days ago" or "The lead score is low", plus a Suggested next step such as "Call the client and address their concerns". If the plan does not include AI assist, the card shows a notice instead.

Deal reports

Deals → Reports has three tabs:

  • Win / loss: win rate, won value, average deal size and sales cycle; by owner, by month; Lost reasons. Choose a range (This month, This quarter, Last 90 days, This year, Custom) and a pipeline. Download CSV and Download lost reasons as CSV.
  • Forecast: open deals by expected close month (light bar value, dark bar weighted). Choose how many next months to show. Buckets include Overdue, Later and No date.
  • Lead sources: the leads created in the chosen range, by where they came from: Leads, Won, Lost, Became clients, Still open and the Conversion rate (won or became a client, out of all). Leads with no source are listed as "No source". Shown to people who can see the lead list.

Pipelines and lost reasons setup

CRM → CRM settings → Pipelines & lost reasons (also Deals → Pipelines).

  • Pipelines: each pipeline has stages with a name, colour, a win probability used in the forecast, and a Type: open, won or lost. A pipeline needs at least one won and one lost stage. Use New pipeline, Add stage, move stages up or down, mark one pipeline Default. Only a pipeline without deals can be deleted. The page shows "{used} of {limit} pipelines".
  • Lost reasons: the list a lost deal picks from. A reason in use is switched Off instead of being deleted.

Example scenario

Corporate sale at a Dhaka ISP: Nusrat creates "Meghna Garments - 100 Mbps dedicated", value ৳450,000, pipeline Corporate, stage Proposal (probability 50%, weighted ৳225,000). She adds line items, makes a quote and sends it. The deal's risk turns Medium after 8 days of silence; she follows the suggestion and calls. The client accepts the quote, the deal value updates and she clicks Won.

Tips

  • Set realistic stage probabilities; the forecast is only as good as they are.
  • Fill the expected close date so overdue deals stand out.
  • Always give a lost reason; the win/loss report depends on it.

Troubleshooting and FAQ

No Line items button. You lack the products and quotes permission.

"Your plan's pipelines are used up". Delete an unused pipeline or upgrade.

Totals look too low. Deals in a currency with no exchange rate are left out of totals; the page tells you which.
