Products and setup

Define each item you buy once in the product catalog, and set up the lists (categories, brands, units, locations) that products and stock depend on.

Who can use it

Staff with the asset product, master data and location permissions. Do this setup before buying or registering anything.

Where: Assets & Inventory → Asset setup, Locations, Products.

The product catalog.

Asset setup

Organization-managed lists, with tabs Categories, Brands, Manufacturers, Units and Settings.

Tab What it does
Categories A tree. New root category, then Add child for subcategories. Each has a name, code and a default tracking type (Serialized, Bulk, Measured or Capacity). Suggests the tracking type for new products
Brands, Manufacturers Simple lists. Add, edit, delete
Units Add unit for units of measure such as Metre or Piece, used by bulk and measured products. "In use - cannot delete" appears for units already used

Locations

Locations is a tree: region, branch, warehouse, zone and so on. Warehouse, office and client site are all just location types, so every transfer is a clean from and to.

Button What it does
New root location Adds a top-level location
Add child Adds a place inside another
Change status Activates or deactivates
View Opens the location with what is stored there
Delete Removes a location after you confirm

Products

Product Catalog lists every asset, consumable and service you buy, defined once.

  1. Click New product.
  2. Enter Product name and a code, and choose the Category, Brand, Manufacturer and an optional Default vendor.
  3. Choose the Tracking type. This decides how each unit is represented, and it cannot change after units exist.
Tracking type Use it for How it is tracked
Serialized Routers, ONUs, laptops One record per unit with a unique serial, status and history
Bulk Connectors, patch cords A quantity per location
Measured Fiber or cable reels Cut by start and end meter reading; the remaining length is deducted automatically
Capacity Upstream bandwidth Committed capacity
  1. For serialized products, add Extra identifiers (for example MAC address or PON serial) and a Default warranty.
  2. Set the Reorder level, Depreciation method, Useful life months, optionally Salvage % and Declining rate % (see Depreciation), and Default origin (how units usually enter).
  3. Click Create new product. No cost is entered here; cost is recorded when you purchase.

A product page shows Total units, In stock, Assigned, On hand, Remaining, specifications, Units, Purchase history and an activity timeline. Danger zone → Delete product hides it from lists; existing units keep their history.

Example scenario

Padma Net Support adds a category "Network → Routers" (Serialized), a brand "Mikrotik", and the product "Mikrotik RB5009UG+S+IN" with MAC address as an extra identifier and a 12-month default warranty. For fiber it adds "FTTH Drop Cable 1 km" as Measured with the unit Metre.

Tips

  • Pick the tracking type carefully: it cannot change once units exist.
  • Keep category codes short and consistent.
  • Build the location tree to match how you really store things.

Troubleshooting and FAQ

I cannot change the tracking type. Units already exist for the product. Create a new product instead.

I cannot delete a unit of measure. It is in use by a product.
