Assets

Maintenance, stock audits and disposals

Keep assets serviced, check physical stock against the system, and retire items properly.

Who can use it

Staff with the maintenance schedule, stock audit and asset disposal permissions. Disposals need an approver.

Where: Assets & Inventory → Maintenance schedules, Stock audits, Disposals.

Stock audits.

Maintenance schedules

Recurring service reminders. The list shows Interval Days and Next Due Date.

  1. Click New maintenance schedule.
  2. Choose the asset or product, name the task and set the interval in days.
  3. Save. The next due date is calculated from the interval.

Stock audits

A stock audit compares what you counted with what the system says.

Button What it does
New audit Choose the location to audit and confirm Create Stock Audit
Start Counting Begins the count
Submit Count Enter counted quantities
Adjust Posts the differences to stock
Close Stock Audit Finishes the audit

Steps:

  1. Click New audit, pick the location and create it.
  2. Click Start Counting and have someone count the shelves.
  3. Click Submit Count and enter the figures.
  4. Review the audit page: Lines, With variance, Matched, and for each line System, Counted and Variance.
  5. Click Adjust to correct stock, then Close Stock Audit.

An audit is append-only: line items show the values recorded when you counted. Units found that were not in the system can be added as "Found in audit".

Disposals

When an asset is sold, scrapped or written off.

  1. Click New Asset Disposal.
  2. Select the asset, choose the method, enter Proceeds Amount, Proceeds Currency and the reason.
  3. An approver clicks Approve or Reject ("Approve this disposal?"). Approval sets the asset to Disposed.

Example scenario

Padma Net Support audits the Mirpur warehouse every quarter. Nasrin counts 118 patch cords while the system says 120. The audit shows a variance of -2. She adjusts, and the stock movement ledger records the correction. A damaged router is disposed of as scrap with zero proceeds, approved by the Operations head.

Tips

  • Audit one location at a time, ideally when no transfers are in flight.
  • Record the reason for every disposal for your accounts.

Troubleshooting and FAQ

I cannot start counting. The audit may already be started or closed.

The asset is still listed after disposal. It stays for history with status Disposed.
