Authorization codes

PINs that people dial before an outbound route lets a call out, so every call can be charged to a person, department or customer.

Contents

What it is for

Use authorization codes when you want to control or track who places outside calls, for example international calls from a shared desk. Each call made with a code carries the code's label and account in the call records.

Who can use it

Administrators who manage the phone system.

Where to find it

Phone → Advanced → Authorization codes

Tasks

Create a code

  1. Click New code.
  2. Enter a Label (for example "Accounts desk") and an Account (the department or customer to charge).
  3. Under Belongs to, choose an extension to make the code personal, or leave it on "Nobody, a shared code".
  4. Type a PIN, or leave it empty and 9bx makes one for you.
  5. Click Create code. Copy the PIN from the "Save this PIN now" window and give it to the person. 9bx keeps only a scrambled copy and cannot show it again.

Ask for a code on a route

  1. Open Phone → Setup → Numbers & trunks → Outbound routes and edit the route.
  2. In the Authorization code section choose On every call through this route, or Only for some numbers and type dial patterns such as 00. for all international calls. Press Enter after each pattern.
  3. Save. Create at least one code first, or nobody can place a call on that route.

Change a PIN. Open the code and choose Change PIN. The old PIN stops working at once and you see the new one once.

Switch a code off or on. A code that is off is refused at the prompt. Calls already made keep its label.

Find calls by code. In Call history use the Authorization code filter.

What the caller experiences

The caller dials the number, hears a prompt, keys in the PIN and presses hash. Three wrong tries end the call with an announcement. Emergency numbers never ask for a PIN.

Troubleshooting

Problem What to do
Nobody can dial out on a route The route asks for a code but none exists, or all are off. Create or switch on a code.
A person lost the PIN Use Change PIN and give them the new one.
A personal code is refused It works only from its own extension. Make it shared or call from that extension.
