Who can use it

Everyone can use Media for their own files and the files shared with them. It is a work tool open to all roles.

Where: Home → Media.

Grid or list view Switch the layout
Storage badge Shows 9bx storage or Your server, see Where files are stored
Breadcrumbs Click My Drive or a folder name to go up

Select several items to get the bulk bar with Move and Trash.

Upload files

  1. Click Upload files (or Upload folder).
  2. Choose the Destination folder.
  3. Under Who can see these files? choose the visibility (see Share).
  4. Click Upload. You can Hide the window; uploads keep going.

Images, PDF, documents and video up to 2 GB each. If some fail you see "{n} of {m} file(s) could not be uploaded. Retry them below."

Create and organise folders

  1. Click New folder.
  2. Enter Folder name, choose Visibility and the Destination folder.
  3. Click Create folder. Use Edit Folder (from the item menu) to rename or change visibility.

Right-click an item (or open its menu) for Share, Rename, Move to..., Add to Starred, Move to trash. Move to... asks you to Select a folder.

Share a file or folder

  1. Open the item menu and choose Share.
  2. In Add people by name or SS-code... pick colleagues, and choose Editor or Viewer for each.
  3. Under General access choose Restricted (only people listed) or Anyone in the organization ("Can view and reuse this file").
  4. Click Done.

Sharing a folder cascades to everything inside it. People with access lists everyone, with the Owner first.

Star, trash and restore

Action How
Star Add to Starred
Delete Move to trash; it asks "Move selected items to trash?"
Restore Open Trash, choose Restore
Delete forever In Trash choose Permanently Delete (asks to confirm)

File details

Open an item to see the Details drawer: Owner, Size, Stored on, Visibility (Org or Specific), Shared with and a Share button.

Image previews

The grid, the list and Select from Drive show a small preview of each photo, so a folder full of pictures opens quickly. The preview is made a few moments after the upload; until then the full image is shown. Opening a file shows it at full size.

Images you already looked at load from your browser for a few minutes instead of downloading again.

Opening or downloading a file is recorded in the activity log. Scrolling through the grid or list is not.

Where files are stored

The badge tells you: 9bx storage (kept by 9bx and counted toward your plan) or Your server (a server your organization connected, which does not count toward the plan). Choose and test this under Storage.

Attach files from other pages

Tickets, clients and employees use the same library through Select from Drive: the tabs My files, From library and Upload new, with a search box. Tick files and click Insert selected.

Example scenario

Imran uploads "Router setup guide.pdf" to a folder "Customer guides" and shares the folder as Viewer with the whole support team. Nusrat attaches the same file to a ticket through Select from Drive instead of uploading it again.

Tips

  • Keep one folder per team and share the folder, not each file.
  • Star the files you use daily.
  • Use Anyone in the organization for company-wide policies.

Troubleshooting and FAQ

I deleted a file by mistake. Open Trash and click Restore.

A file will not upload. Check the size limit (2 GB), your connection, and your storage status; if storage is full ask an administrator.

I cannot share. Only the owner or an Editor can share.

"Couldn't load Drive". Reload; if it persists, ask an administrator to check Storage.
